A private charter enquiry has a short half-life. The client is usually contacting more than one broker, and the decision is often made before the third quote arrives. Desks that lose trips rarely lose them on price. They lose them on the clock.
Where the hours go
Sit with a broker through a single enquiry and the time is easy to account for. Perhaps five minutes reading the request and deciding whether it is real. Then the operator round-trip: emails out, a wait, replies in different formats, some of them for aircraft that were never suitable. Then the price build — positioning, crew, handling, fees, margin — assembled by hand in a spreadsheet that was originally built for a different route.
None of these steps is slow because the broker is slow. They are slow because each one waits on someone else, and because the information needed to move has to be re-gathered every time.
The desk is not losing to a better broker. It is losing to a broker with less waiting in their process.
The three fixes, in the order they pay
- Price before you ask anyone. Positioning, crew, handling and margin can be expressed as rules. A defensible indicative price should exist before a human opens the request.
- Filter availability automatically. Most of the operator round-trip is spent discovering that an aircraft was never suitable. Synced availability removes that entirely.
- Make follow-up infrastructure. Sequences weighted by trip value, escalating to the desk head rather than expiring quietly when the desk gets busy.
The first of these is the one desks resist, usually with a version of “every trip is different”. Every trip is different in its inputs, not in its logic. If a broker can price a trip, the reasoning can be written down; if it can be written down, it can be encoded. What the software produces is a starting price that a broker adjusts — not a price that overrules them.
What changes when the clock is fixed
Two things, and only one of them is obvious. The obvious one is conversion: quoting first wins more. The less obvious one is quality of margin. When quoting is fast, brokers stop discounting to compensate for being late, and they stop skipping the smaller enquiries that turn out to be repeat clients.
The empty-leg question follows from the same infrastructure. Once positioning is modelled well enough to price a trip, publishing repositioning legs to a public feed and matching them against saved searches is a small additional build on top of work you have already done.
